Signing Brazilian documents while living outside Brazil: the step-by-step from received PDF to verified file

Someone in Brazil has sent you a PDF and is waiting for your signature — ideally with notarised-equivalent validity, ideally today. This guide walks through signing Brazilian documents while living outside Brazil, one step at a time: which program to open, which standard to pick, how to send the file back and what to tell the recipient so they can check it in a minute. By the end, the document goes out signed with your e-CPF and the only decision left is which one comes next.

⚠️ Important notice

This is not a government website. Certificado Digital Global is a Registration Authority accredited to the Certisign network, a brand of Kindness in Business Consulting Ltd (UK Company No. 10386293), serving clients from London. Issuance depends on identity validation, documentation and ICP-Brasil rules. Do not send CPF, passport or sensitive documents via WhatsApp or the initial form.

The full sequence, start to finish

Who lives through this scene

What made the difference was not a faster laptop but the presumption of authorship that Provisional Measure 2.200-2/2001 attaches to a document signed with an ICP-Brasil certificate: the client needed no witness, no notary and no paper.

Real case

Illustrative scenario. A Brazilian architect settled in Munich closes an interior design project for a client in Belo Horizonte. The services contract lands as a PDF on a Thursday night, and the client warns that his office only accepts a signature backed by a certificate or a notarised one. The nearest consulate has appointments weeks away. With her A1 e-CPF installed on her laptop, she opens Assinador Serpro, signs in PAdES, checks the result on ITI's validator and returns the contract the same night — with the validator's link in the body of the e-mail. The client checks it in a minute and the project starts on Monday. — A recurring situation among freelancers serving clients in Brazil remotely

Tools: which one to open in each situation

Free program installed on the computer. Signs PDFs in PAdES and other files in CAdES, with A1 or A3. The most predictable choice for frequent signers.

Certisign provides its own signing tool, compatible with the certificates it issues. Handy for those who prefer the same interface used at issuance.

Recognises the certificate installed in the system and signs PDFs. Before using it, confirm in the preferences that verification is set up for the ICP-Brasil chain.

Lets you sign from your phone, wherever you are. The route for people who switch computers often or travel for work.

Before deciding: the doubts that usually hold people back

“My time zone is the opposite of London's”

The validation session is booked at an agreed time, around your clock. Once issued, the certificate signs at any hour without depending on anyone.

“My driving licence has expired”

Validation requires a valid Brazilian photo ID: Brazilian passport, RG or CNH. If any one of them is in date, that's enough.

“Is it safe to sign from abroad?”

The private key stays with you alone; the Registration Authority has no access to the password or PIN. Whatever you sign is attributed to you, and only you — which is why the certificate file must never be shared.

“Is it worth it compared with flying?”

A ticket to Brazil to sign a single document costs several times the certificate, which then covers every document for the rest of the year.

How the recipient checks it — and what to write in the e-mail

  • Attach the signed PDF under its original file name, without compressing or converting it.
  • Add a line such as: “Document signed with an ICP-Brasil certificate; to verify, upload the file at validar.iti.gov.br”.
  • Mention that the signature appears as a panel in the PDF reader, not as a picture of a scrawl.
  • If someone else in Brazil also signs, ask them to use the same file and never reprint it.
